Lease Abstraction for Yardi Voyager: Mapping Abstract Fields to Voyager Lease Setup

A lease abstract and a Yardi Voyager lease record are describing the same lease, but they're not the same document. An abstract is written to be read. A Voyager lease record is written to be computed on — it drives rent charges, tracks critical dates, and feeds recovery calculations automatically, but only if the underlying data is structured the way Voyager expects it. The gap between those two shapes is where a lot of go-live time quietly disappears.

Most lease abstraction vendors don't think about that gap at all, because they don't also touch the ERP side. Here's the mapping worth knowing if you do.

Parties and premises set up the records everything else attaches to

Before a single dollar of rent can be entered, Voyager needs the tenant and unit records to exist and be correctly linked — legal entity names, guarantors, the specific suite or demised premises the lease covers. This sounds trivial, but it's the step where a sloppy abstract causes the most downstream rework: get the legal tenant name or the unit reference wrong here, and every charge, every report, and every renewal notice generated later inherits the error silently.

A good abstract captures parties and premises as clean, unambiguous fields from the start — not buried in a paragraph of lease boilerplate that someone has to re-read at data-entry time.

Base rent and escalations become the charge schedule

This is the mapping with the most leverage. Voyager doesn't store base rent as a single number — it needs a charge schedule: an amount, a charge code, and an effective date for every period the rent changes, including scheduled escalations, free-rent periods, and any percentage or index-based step-ups. A lease that reads "base rent escalates 3% annually" is one sentence in a PDF. In Voyager, it's a row per year for the full term.

An abstract that only records the starting rent and a note that says "escalates annually" pushes the entire schedule-building exercise onto whoever does data entry, working it out lease by lease. An abstract that captures the full computed schedule — every step, amount, and date — turns that same task into a direct data load.

CAM and recoveries become recovery setup, not a notes field

Common area maintenance and other recoverable expenses are consistently the messiest part of a Voyager go-live, because CAM reconciliation terms are rarely simple. Pro-rata share calculations, caps, CAM gross-up provisions, base-year stops, and exclusions all have to translate into Voyager's recovery configuration — not sit as a paragraph summary that someone interprets at billing time. If the abstract treats CAM terms as free text ("tenant pays its share of operating expenses, subject to a cap"), that ambiguity has to get resolved by a human before the recovery structure can be built at all, usually under go-live pressure.

The fix is upstream of Voyager entirely: an abstract that extracts CAM terms as structured values — the pro-rata method, the cap amount and type, the base year — gives whoever configures recoveries something they can enter directly instead of something they have to interpret.

Options and critical dates drive the calendar, not a memo

Renewal, termination, and expansion options are exactly the kind of provision that's easy to abstract as a narrative note and hard to abstract as data — but Voyager's value in tracking them comes entirely from treating them as structured critical dates: notice deadlines, exercise windows, and the terms that apply if the option is exercised. A holdover tenancy clause or a kick-out clause is only useful to a portfolio manager if its trigger date is sitting in a tracked field somewhere, not paraphrased in a summary nobody re-reads until the deadline has already passed.

Amendments determine which terms are actually current

Commercial leases are rarely a single document. Amendments, riders, and side letters modify the original terms, sometimes more than once, and the record that matters for Voyager setup is the current controlling terms — not the original signature copy. An abstraction process that reads the original lease and stops misses every subsequent change. One that merges the full document set and resolves what's currently in force is the only version worth keying into Voyager at all.

Unit and area data feed a configuration the lease can't override

Square footage and unit references look like the simplest fields on an abstract, and they cause some of the most stubborn Voyager rejections. Area fields don't validate in isolation — they have to align with how the property's area labels and configuration were already set up in Voyager, and a lease that states a rentable square footage figure has no way to know what that configuration expects. An abstract that captures the unit reference and area figure cleanly still leaves that alignment step to whoever does data entry; it can't shortcut Voyager's own configuration rules, but at least it stops the person keying the data from also having to re-locate the number in a hundred-page PDF while they sort it out.

Where this actually saves time: the batch, not the lease

None of this matters much for one lease. It matters enormously for a portfolio acquisition or a system migration, where the same translation step — abstract shape into Voyager shape — repeats dozens or hundreds of times under a closing deadline.
