Lease Administration

Lease administration is the ongoing management of an active lease portfolio: tracking critical dates and option windows, generating rent and expense-recovery billing, processing renewals and amendments, responding to estoppel and compliance requests, and keeping the lease database accurate as it changes. Where lease abstraction is a one-time extraction project, administration runs for as long as the lease is in force.

What lease administration covers day to day

  • Critical-date tracking: renewal and termination option windows, notice deadlines, rent-review dates, expiration dates — flagged far enough ahead to act
  • Rent and recovery billing: base rent, escalations, CAM/operating-expense recoveries, percentage rent, and reconciliations run on the schedule the lease requires
  • Amendment and renewal processing: new terms captured and reflected in the operating record as soon as they are signed
  • Compliance and third-party requests: estoppel certificates, SNDAs, insurance-certificate tracking, and lender or auditor inquiries answered from the live data

Administration runs on abstracted data

None of those tasks work from the lease document itself — they run off structured data that someone extracted from it. That extraction is lease abstraction, and it typically happens once per lease (at signing, acquisition, or migration) while administration operates on the result continuously. A renewal-option alert, a CAM reconciliation, and a rent-roll report are all just different views of the same abstracted fields.

That dependency is why administration quality has a ceiling set by abstraction quality.
